Managing Video Library
The Video Library is where you store and organize all the videos used across your website. You can add videos two ways: by pasting a YouTube URL or by uploading a video file directly. From the left sidebar, the Videos section expands into two pages: Videos and Categories.
Categories
Categories act as folders that keep your video library organized. Setting them up before adding videos makes it easier to find and reuse content later.
The Category List
The Categories page displays all your video categories as cards in a grid. Each card shows the category name and edit/delete controls. The sticky header includes a search bar to filter categories by name and a New button to create one.
Adding a Category
Click New and enter a category name. The name is required — click Submit to save.
Editing or Deleting a Category
- Click the pencil icon on any category card to rename it.
- Click the trash icon to delete a category. A confirmation dialog appears first. Deleting a category does not delete the videos assigned to it.
Videos
The Video Grid
Videos are displayed as cards in a responsive grid. Each card shows:
- A thumbnail with a play icon overlay
- YouTube videos use the video's own thumbnail automatically
- Uploaded videos show a preview of the file
- Up to two category tags (with a "+X more" chip if there are additional categories)
- The video title
- Action buttons at the bottom: Download (uploaded videos only), Edit, and Delete
Videos load in batches as you scroll — more appear automatically when you approach the bottom. "That's all!" appears when you've reached the end.
Searching and Filtering
Search bar Type to filter videos by title, description, or category name. Results update automatically as you type. Click the × inside the search bar to clear it, or press Enter to search immediately.
Category filter Click the Categories dropdown to filter by one or more categories at once. Selected categories appear as chips. The search bar and category filter work together simultaneously.
Clear Filters When any filter is active, a Clear Filters button appears in the header. Click it to reset everything at once.
View Modes
The toolbar includes a toggle between two layouts:
List View (default) All videos appear in a single grid regardless of category.
Category View Videos are grouped by category folder. Click a folder card to open it and browse only the videos in that category.
Adding a Video
Click the New button to open the Add Video form.
Step 1 — Choose a Source
The first field is Source, with two options:
YouTube URL Paste a link to any YouTube video. Supported URL formats include standard watch links, short youtu.be links, Shorts, and embed URLs. The video thumbnail and a live preview are generated automatically from the URL.
Upload Video Upload a video file from your device. Click Choose Video or drag a file directly onto the form.
- Supported formats: MP4, MOV, M4V, WebM, AVI
- Maximum file size: 50 MB
An upload progress bar shows the percentage as the file transfers. A preview of the uploaded video appears in the right panel once the upload is complete.
Step 2 — Fill in the Details

| Category | Required. Assign the video to one or more categories. If you need to create a new category on the spot, click the gear icon next to the field — this opens the category manager without closing the form. |
Step 3 — Submit
The Submit button in the header becomes active once a title, a valid source, and at least one category are provided. Click it to save the video.
Editing a Video
Click the edit (pencil) icon on any video card to open the edit form with all existing values pre-loaded. You can update:

| Video file | For uploaded videos, a Replace Video button lets you swap in a new file. The current filename is shown for reference. |
Click Update to save your changes.
Downloading a Video
Click the download icon on any uploaded video card to save the original file to your device. YouTube videos do not have a download button — they are streamed from YouTube directly.
Deleting Videos
Single Delete
Click the trash icon on a video card. A confirmation dialog will warn that the action cannot be undone. Click Delete to confirm. For uploaded videos, the file is permanently removed from storage.
Bulk Delete
To delete multiple videos at once:
- Click the checkbox on each video card you want to delete. Selected cards turn blue.
- A Delete Selected (X) button appears in the header.
- Click it to open the confirmation dialog, which lists every video that will be deleted by name.
- Click Delete X Videos to confirm.
This action cannot be undone.
Tips
- Set up categories first. A well-structured category list makes it much easier to attach the right videos to the right pages later.
- Use YouTube for large or frequently updated content. YouTube-hosted videos don't count against your storage and always reflect the latest version of the video without re-uploading.
- Use uploaded videos for private or unlisted content that you don't want hosted on a public platform.
- The Summary field helps with search. Descriptive summaries are included in the search index, so a video titled "Tour" becomes much easier to find if its summary says "Office walkthrough for new patients."
- Category View is useful for audits. Switch to Category View to quickly see which folders are empty, overfull, or missing content you expected to be there.
